Adding Teachers
Every teacher at your center gets their own account. They use it to log in to the teacher portal, see their classes and schedule, and mark attendance.
Placeholder. Watch how to create a teacher account, set their salary, and put them in front of a class.
On an individual (solo-trainer) plan you can't add teachers — the plan assumes you're the only one. See Paying for Your Subscription to move to a center plan.
Adding a teacher
- In the left sidebar, click Directory → Teachers.
- Click Create in the top right.
- Fill in the form (see the table below).
- Click Save.
| Field | What to enter | Required? |
|---|---|---|
| Profile image | A photo of the teacher. Shows on their profile and in the teacher portal. | No |
| First name | Their first name. | Yes |
| Last name | Their last name. | Yes |
| Subject | What they teach, e.g. "Mathematics". Free text. | No |
| Their email. This becomes their login and must not already be in use. | Yes | |
| Password | A starting password, at least 8 characters. Click Generate to have one made for you. | Yes |
| Status | Active, Suspended, or Banned. Leave on Active for a new teacher. | No |
| Phone | Their phone number. | No |
| Location | City or branch. | No |
| Date of birth | Must be a date in the past. | No |
| Gender | Man or Woman. | No |
| Custom salary | A monthly salary just for this teacher. Leave empty to use your center's default teacher salary, shown next to the field as Default salary. | No |
There's no Import button on this page. Teachers are added one at a time. (Students can be imported in bulk — see Bulk Import.)
What the teacher receives
They get a welcome email with a link to choose their own password. The link is good for 60 minutes. If they miss it, they can use Forgot password on the login screen to get a fresh one.
The welcome email always sends and isn't one of the messages you can switch off in Notification Settings.
Putting a teacher in front of a class
There's no "assign class" field on the teacher form. Class assignment happens the other way round — from the class.
- Go to Management → Classes.
- Open the class (or click Create to make a new one).
- In the Teachers field, pick the teacher (or teachers).
- Click Save.
A teacher can teach several classes, and a class can have several teachers. See Classes for the full picture.
The teacher's own profile shows their classes, but read-only — you always make the change from the class side.
Setting up a salary
Your center has a default monthly teacher salary set in salary settings. The Custom salary field on the teacher form overrides it for that one person. Clear the field to go back to the default.
Beyond that, a teacher can have a salary contract — the monthly amount, a start and end date (or open-ended), and any notes. It appears on their profile as the Salary Contract card, along with whether this month has been paid and a link to the receipt.
If nothing is set up yet, that card reads "No salary contract set for this teacher." Recording actual payments is covered in Salaries.
A teacher's profile
Click any row in Directory → Teachers to open their profile. The header shows their photo, name, and subject (or "No subject assigned"). Below it are four tabs:
| Tab | What's on it |
|---|---|
| Summary | Their personal details, status, and bio, plus the Salary Contract card. The Edit and Delete buttons live here. |
| Salary | Month-by-month record of what was due and what was paid, with receipt links. |
| Classes | Every class they teach, with each class's student count. Read-only — assign from the Classes page. |
| Schedule | Their week, grouped Sunday through Saturday: session title, start and end time, online or in-person, and whether it's active. |
Empty tabs say so plainly — for example "No classes assigned to this teacher yet."
Changing or removing a teacher
To edit: open their profile and click Edit. Everything can be changed, including their email. Leave Password blank to keep their current one.
To pause or remove access, use their Status:
| Status | What it means | What you do |
|---|---|---|
| Active | They can log in to the teacher portal normally. | Nothing. |
| Suspended | Login blocked. Everything is kept. | Use this for leave or a temporary hold. Switch back to Active any time. |
| Banned | Login blocked. Meant as a permanent block. | Use this when someone has left for good. |
Suspending vs deleting
| Suspend | Delete | |
|---|---|---|
| Can they sign in? | No | No |
| Still assigned to their classes? | Yes | No — removed from every class |
| Salary history | Kept and visible | No longer visible anywhere |
| Can you undo it? | Yes, switch back to Active | No — there is no restore |
| Counts towards your teachers limit | Yes, still counts | No — frees a place |
A suspended or banned teacher keeps their place in your teachers limit. Only deleting frees a place.
Deleting also strips them from every class they were teaching, which can leave classes without a teacher. If you only want to stop them signing in, use Suspended — just know it won't make room for a new teacher.
To delete a teacher: open their Summary tab, click Delete, and confirm. The confirmation window explains what you'll lose before anything happens.
Common questions
"Plan limit exceeded" when I try to add a teacher. Your plan caps how many teachers you can have. Suspending a teacher does not free a place — only deleting does. So either upgrade your plan, or delete a teacher who has left for good. See Paying for Your Subscription.
The email is already taken. That address is already on another account. Use a different one, or check whether you added this person previously.
The teacher isn't showing under their class. Assignment is done from the class, not the teacher form. Open the class in Management → Classes and add them there.
Where do I write their bio? The bio shows on the Summary tab but there's no field for it in the form yet. Leave it for now.
They never got the welcome email. Check spam. Otherwise ask them to use Forgot password on the login screen.
Who's allowed to do all this? Anyone whose role includes permission to manage teachers. The main admin always can. See Roles & Permissions.
