Paying for Your Subscription

Your center pays for QraOnline by bank transfer, cash, cheque, or mobile money — then you upload a photo of the receipt here. Our team checks it and switches your subscription on.

There is no credit card form. Nothing is charged automatically.

Two different kinds of "receipt"

This page is about your center paying us. It has nothing to do with the receipts you give your own students when they pay their tuition — that's covered in Student Payments.

Renewing your subscriptionSample video

Placeholder. Watch the full flow: choosing a plan, requesting a renewal, and uploading your payment receipt.

Step 1 — Choose your plan

  1. In the left sidebar, click My Center.
  2. Open the Upgrade Plan tab.
  3. Choose Monthly or Yearly at the top. Yearly is cheaper per month.
  4. Find the plan you want and click Upgrade.
Expired already?

If your subscription has run out, you'll see a warning banner at the top of every page with a Shop plans button. It takes you to the same place.

Step 2 — Confirm what you're buying

A window opens showing what you're about to request. Check these:

What you'll seeWhat it means
Billing cycleMonthly or yearly.
Billing monthsOnly for monthly plans. You can pay for 1, 2, or 3 months at once.
Start dateWhen the new plan begins.
End dateWhen it runs out and needs renewing again.
Total priceWhat you need to pay us.

You'll also see a checkbox about starting after your current plan ends.

  • Leave it ticked if you still have days left on your current plan. Your new plan waits its turn, so you don't waste what you already paid for.
  • Untick it only if your plan has already expired and you want access back immediately.
ملاحظة

If your current plan is still active, this checkbox stays ticked and can't be changed. We won't cut a plan short that you've already paid for.

Click Request renewal when it looks right.

Nothing has been paid yet. This step just tells us what you want to buy.

Step 3 — Pay us

Send the money using whichever method you arranged with us — bank transfer, cash, cheque, or mobile money.

Keep the receipt, screenshot, or transaction reference. You'll need it in the next step.

Step 4 — Upload your proof of payment

  1. Go to My Center → Subscription History.
  2. Find the row that says Waiting for payment.
  3. Click Upload proof.
  4. Fill in the form:
FieldWhat to enter
Payment methodHow you paid: bank transfer, cash, cheque, mobile money, or other.
AmountHow much you sent. Already filled in from the plan price — change it if you paid a different amount.
CurrencyYour currency. Defaults to your center's currency.
Payment dateWhen you sent the money. Defaults to today.
Reference numberYour transaction ID, cheque number, or transfer reference. At least 3 characters. If you paid cash and have no reference, leave the auto-filled value.
Receipt imageA photo or screenshot of your payment. This is the important one.
NotesAnything we should know. Optional.
  1. Click Submit.
Make the receipt readable

Our team approves your subscription by looking at this image. Make sure the amount, date, and reference are clearly visible. A blurry photo means a slower approval.

Step 5 — Wait for approval

Your subscription now says Waiting for approval. Our team reviews your receipt and either approves or rejects it.

StatusWhat it meansWhat you do
Waiting for paymentYou requested a plan but haven't uploaded proof yet.Upload your receipt (Step 4).
Waiting for approvalWe've got your receipt and are checking it.Nothing — just wait.
ActiveApproved. Your plan is running.Nothing. You're all set.
RejectedSomething was wrong with the payment or receipt.Read the note we left, then upload a corrected receipt.
ExpiredYour plan ran out.Start again from Step 1.

You'll get a notification when the status changes.

If your payment gets rejected

Open the rejected row in Subscription History and read the note our team left. Common reasons:

  • The receipt image was too blurry to read.
  • The amount sent didn't match the plan price.
  • The reference number didn't match anything on our side.
  • The receipt was for a different month or already used.

Fix the problem and upload a new receipt on the same row. You don't need to request the plan again.

What happens when your plan expires

Your center keeps its data, but people start getting locked out:

  • Admins can still log in, but most pages are blocked. You'll still be able to reach My Center so you can renew.
  • Teachers and students see a "Subscription blocked" screen instead of their normal pages.

Nothing is deleted. Renew and everyone gets access back immediately.

Plan limits

Every plan caps how many students, teachers, classes, and meetings your center can have.

If you try to add a student and you're at your limit, you'll see a message telling you the limit was reached and offering to upgrade. Nothing breaks — you just can't add more until you upgrade or free up a place.

Suspending someone does not free a place

A suspended or banned student, teacher or admin still counts towards your limit. Only deleting them frees a place — and deleting removes their history for good.

If you're at your limit, upgrading is usually the better answer. See Managing Students.

Your limits are locked in when you buy. If we change a plan's pricing or limits later, your current subscription keeps the terms you originally paid for until it's time to renew.

Common questions

Can I pay by credit card? Not right now. All payments are handled offline and confirmed by our team.

Can I upgrade in the middle of a month? Yes. Request the bigger plan and tick "start after current plan ends" so you don't lose the days you've already paid for.

I paid but the status hasn't changed. We haven't reviewed it yet, or the receipt was never uploaded. Check Subscription History — if the row still says "Waiting for payment," your receipt didn't go through. Try uploading it again.

Can my sub-admins do this? Only if you've given them permission to manage subscriptions. See Roles & Permissions.
